EDRM - Document capture

Document capture isn’t just about the capture of paper records to cut through backfile issues. The increasing proportion of information received and generated electronically mandates the import of electronic content from other systems to eliminate document folders scattered across storage servers, and on-going generation of new electronic content, including use of online electronic forms for new business transactions with little or no dependency on paper.

CCube EDRM allows users to scan their documents and hold them in specific batch queues for indexing later, with the module managing a variety of storage devices such as network attached storage (NAS) drives, storage area networks (SANs), optical disc, CD, DVD, tape, microfilm or any combination of mediums. It contains all the functions for scanning, indexing and retrieving paper-based documents. User-specified batch queues will be set up to allow users to scan their documents and hold them in specific batch queues for indexing later. The batch queues will enable documents to be held and security protected between the system users. The module is a fully integrated system for retrieving paper based and electronically filed information. It supports most industry-standard scanners and scanner interfaces, eg. Board-driven, ISIS, and TWAIN.

EForms - Management and systems integration

A document is the vehicle for content which must be searchable and integrated with the core business systems and practices. Its management has to encompass the document life-cycle which includes day-to-day business record management (including security), as well as retention and destruction in compliance with legal guidelines.

CCube EForms integrate an electronic forms module for designing and publishing on-line forms that support two-way engagement with internal and external users. The process is intuitive, interactive and intelligent – depending on one answer, different choices are then given to the user for the next question(s). As the form is completed, data is collected behind the scenes and once finished, an actual form is generated in read-only format, together with the full data set used to then automate back-end business processes.

WorkFlow Module - Automate the flow and processing of documents

To be optimally effective an electronic record has to be delivered to key users when and where they need it. The problem is that there isn’t a single user type within any organisation. Each organisation will have many different user roles, each with their own specific requirements and, consequently, their specific need for information.

The CCube WorkFlow Module includes a graphical designer to make it easy to set up business processes and automate the flow and processing of documents between departments and users. We do this by specifying specific tasks called worklists which are easily defined using drag-and-drop techniques and can be simply changed to accommodate staff who are on holiday or sick for example. Workflow actions can be programmed to be triggered via existing business applications which in turn can be set to start an external event such as an email or letter being sent.

CCube supports various document types as part of any given workflow including images, spreadsheets, word processed documents, video, sound and many more.
